Privacy Policy

Moroziuk Media · Ontario, Canada

For readability, this policy refers to Moroziuk Media as "we," "us," or "our."

Purpose of this policy

This policy explains how Moroziuk Media collects, uses, shares, retains, and protects personal information when we provide information technology, consulting, website, creative, media, and related services. It also applies to our websites, client portal, invoices, payment pages, and other online tools (collectively, the "Services").

What we collect

We collect information that you provide to us, information provided on your behalf, and technical information reasonably needed to deliver and secure the Services. Depending on the engagement, this may include:

  • names, business names, email addresses, phone numbers, billing addresses, and other contact details;
  • project, account, service, device, network, website, hosting, domain, software, and support information that you ask us to work with;
  • messages, files, images, documents, credentials, configuration information, and other materials you provide or authorize us to access;
  • invoices, payments, account balances, and transaction records;
  • client-portal account, authentication, and access information; and
  • technical logs and information reasonably needed to operate, maintain, troubleshoot, secure, and improve our systems and Services.

We ask that you provide only information that is relevant to the work. If an engagement requires access to sensitive systems or information, we will use it only as reasonably necessary to provide the requested service.

How we use information

We may use personal information to:

  • respond to inquiries and provide quotes, proposals, contracts, and services;
  • plan, perform, document, support, and invoice for an engagement;
  • administer client accounts, portal access, files, and communications;
  • process or record payments and manage amounts owing;
  • protect our clients, systems, business, and staff from fraud, misuse, unauthorized access, and security incidents;
  • maintain records needed for business, accounting, tax, legal, contractual, and dispute-resolution purposes; and
  • meet other legal, regulatory, or legitimate business obligations.

We do not sell or rent personal information. We do not use client information for unrelated marketing.

Client files, systems, and credentials

Some engagements require us to receive or access client files, cloud accounts, websites, domains, hosting environments, business applications, devices, networks, or credentials. We use that access only to perform the agreed work, provide support, and maintain appropriate records of the work performed.

Please share credentials only through a method we have agreed is appropriate for the sensitivity of the account. Where possible, use an individual account, a delegated role, or a temporary credential rather than sharing a personal password. You remain responsible for maintaining the security of your own accounts and for promptly telling us when access should be changed or removed.

Client portal and uploaded documents

Where we provide portal access, the portal may be used to exchange documents, review project or service information, view invoices, make payment arrangements, and communicate with us. Files and account information are accessible only to people who have been granted access and to Moroziuk Media personnel who reasonably need access to perform the work.

Please upload only files that are relevant to the engagement and that you are authorized to provide. If you believe your portal account has been accessed without authorization, contact us promptly.

Payments

Invoices and payment records are retained for accounting, tax, dispute-resolution, and other legitimate business purposes. Where electronic card payment is offered, payment information is collected and processed by the applicable payment provider. Moroziuk Media does not receive or store your complete payment-card number.

Payment providers and financial institutions have their own privacy policies, terms, and security practices. We may receive limited transaction information needed to confirm, reconcile, refund, or investigate a payment.

When we share information

We may share information where reasonably necessary to provide the Services, including with:

  • contractors or service providers assisting with a client engagement;
  • hosting, cloud-storage, backup, email, communications, payment-processing, domain, software, security, and technical-support providers;
  • an authorized client representative, business owner, or account administrator; and
  • professional advisers, insurers, regulators, courts, law enforcement, or other parties where disclosure is permitted or required by law, or is necessary to protect our rights, clients, systems, or business.

Service providers may process information on our behalf and may store or process it outside Ontario or Canada. Information handled outside Canada may be subject to the laws and lawful-access requirements of the jurisdiction where it is processed or stored.

Retention

We retain personal information only as long as reasonably necessary for the purposes described here, including service delivery, ongoing support, accounting, tax, contractual, legal, security, and dispute-resolution requirements. When information is no longer reasonably required, we may delete, destroy, anonymize, or otherwise dispose of it in accordance with our business practices and applicable law.

Security

We use reasonable administrative, technical, and physical safeguards intended to protect personal information against loss, theft, and unauthorized access, disclosure, copying, use, or modification. These safeguards may include access controls, account authentication, encryption where appropriate, system logging, backups, software updates, and restricted administrative access.

No website, application, network, email system, or electronic storage method can be guaranteed to be completely secure. Ordinary email is not a fully secure channel; contact us if you need to arrange a more suitable way to share sensitive information.

Your privacy choices and requests

Subject to applicable law and limited exceptions, you may ask whether we hold personal information about you, request access to it, ask us to correct inaccurate information, withdraw consent where applicable, or raise a concern about our privacy practices. We may need to verify your identity before responding and may need to retain certain information where required or reasonably necessary for legal, business, accounting, or security purposes.
